The Importance of Documentation [Computer Repair]

Documentation allows a computer technician to micro manage countless computers at once, stop and continue tasks at anytime. Documentation is a record of all system changes made, tasks/work done, test results, provides a record of services and history of known issues.

Forgetting to document your work is the same as forgetting to backup your data. Every time you make a change in the system you should write it down; makes sense right.

Computer owners need to know when their system has been changed for better or worst.

  • Test results
  • System information summary
  • Things to note and Recommendations

Story, a technician finished fixing ten computers and a client calls after picking up their computer. The client complains that his printer stopped working, and the technician wastes an hour troubleshooting the problem over the phone. The problem happened because the technician forgot to change the printer back to the client’s default printer after doing a print check, this wouldn’t of happened if the technician remembered to record the change. Of course this is just an example of the many applications that documentation could be used for. Documentation saves a lot of time and prevents many of these small issues/mistakes.

Documentation isn’t difficult for computer technicians, since most computer tasks are unattended a technician has lots of time to record what their doing. Often documentation is a form with check boxes, YES, NO, PASS and FAIL answers. Because a prepared form is easy to fill out, a technician’s job is quite easy, a trained and organized technician can service countless computers.

Computer owners should stay clear of computer repair shops and technicians that do not provide documentation. A computer repair shop that do not provide documentation is probably: fraudulent, disorganized, inexperienced or has no procedures in place. A computer technician who does not provide documentation could be because they have something to hide, cutting corners, lying, inexperience, etc.

Documentation provides proof of service and creates thrust with the computer’s owner. Large companies require that all computers serviced must have documentation.

Documentation is an important part of computer repair, so computer owners should always ask about documentation, ask to see a sample, how easy is it to read and understand. Although most documentation is left unread and thrown away, it is still a required part of the service.
